To keep a footnote attached to the passage it explains, insert it at the right point in the document’s body text using Pages’ built-in Footnote command. Pages links the in-text marker to its note, so if you move or revise the passage, move or remove the marker with it. If an existing note appears to explain the wrong text, use the marker to locate its note, then correct the marker’s position or edit the note text.

Insert the footnote at its reference point

In Pages for Mac, click in the body text exactly where the footnote marker should appear. Choose Insert in the toolbar, then Footnote. Pages inserts a marker and places the insertion point in the note field at the bottom of the page; type the note there. The marker and note are a linked pair, so avoid typing a note number manually or creating the note as ordinary page text. Apple’s Pages User Guide explains the insertion process.

Place the marker immediately after the specific word, sentence, or punctuation your note supports, following the style required for your document. If it supports a full sentence, for example, put the insertion point at the sentence’s end before adding the note. This placement is an editorial choice; Pages supplies the linked marker and manages its numbering.

Check the document type if Footnote is missing

Footnotes are designed for word-processing documents, where text flows through the document body. A page layout document uses separate text boxes placed on a canvas, rather than a flowing body-text area, and cannot use body-text footnotes in the same way. To check the document, click Document in the toolbar and look for Document Body in the Document sidebar. If that checkbox is selected, the document is a word-processing document; if it is not, it is page layout. Apple describes the distinction and how to identify the type.

A further limit matters in word-processing documents: Apple says a citation can be added to body text, not to text in a text box. If the passage sits in a text box, place the explanatory text in the body where appropriate or choose a document structure that supports your layout needs; don’t assume that a nearby manually typed number is a linked footnote.

Repair a footnote that seems attached to the wrong passage

First, inspect the marker in the body rather than judging the note by its page position. Footnotes appear at the bottom of a page, and their location there does not indicate which sentence they reference. Double-click a note’s number in the body to move the insertion point to its associated footnote. Double-click the number in the note to return to the marker in the text. Apple documents this navigation behavior.

Then compare the marker with the passage it is meant to support. If the marker is simply in the wrong spot, move it along with the surrounding body text: cut or delete the misplaced marker and insert a new footnote at the correct insertion point, then enter or restore the note text. Confirm that the note appears where expected and that its marker is beside the intended passage. If the note text itself is wrong, edit the note field rather than shifting a correctly placed marker.

When moving or deleting passages, take care not to leave a marker behind or remove one unintentionally. Deleting a footnote marker from the body removes its associated note, and Pages updates the remaining note symbols. To remove a note deliberately, click immediately after its marker in the text and press Delete, as Apple’s guide specifies. If you are unsure which note is affected, use the double-click navigation first.

Keep numbering from obscuring the reference

Pages numbers footnotes sequentially across the document by default. You can change the numbering sequence to restart on each page or section: click a note, open the Format sidebar, choose Footnotes, and use the Numbering menu. Changing numbering changes the sequence, not the note’s relationship to its reference text. Don’t use renumbering to repair a misplaced marker. See Apple’s instructions for footnote numbering and note types.

Pages also permits changing a document’s notes between footnotes and endnotes using the Type menu in the Footnotes tab. This affects all notes in the document, so it is not a targeted fix for a single misplaced reference. If your goal is to keep explanatory text at the bottom of each relevant page, leave the note type as footnote.

Before sharing the document, make a quick pass through the markers in context: double-click any ambiguous number, confirm its note supports the intended text, and check that no marker was left behind after editing. Pages handles the note linkage and numbering; you remain responsible for putting each marker where its meaning is clear.
