To break a project into trackable steps in Apple Reminders on Mac, put the main outcome in a parent reminder, create a separate reminder for each action, then indent those action reminders beneath the parent. Select a step and press Command-] or choose Edit > Indent Reminder. The steps should be concrete enough to act on, while the parent names the result they collectively complete.
Decide what belongs under the project reminder
Use a parent reminder for the project outcome, such as “Prepare the community workshop.” Put individual actions beneath it: “Confirm the room,” “Draft the agenda,” and “Send the attendee email.” A useful subtask starts with an action and describes something you can recognize as finished. If a step still contains several distinct actions, it may deserve subtasks of its own only if Reminders’ hierarchy and your list make the relationships clear; avoid adding layers just to make the list look detailed.
Keep reference material in the reminder’s notes when it is context rather than an action. For example, an address or background detail does not need its own checkbox, while “Call the venue to confirm access” can be checked off. Apple’s Mac guide documents notes, dates, tags, and other reminder details, which can hold supporting information without turning every detail into another task. Add and indent the steps on your Mac
Open Reminders and select the standard list where the project reminder belongs. If needed, show the sidebar with View > Show Sidebar, then choose the list.
Add the parent reminder, or find the existing reminder that represents the project outcome. Press Return after selecting a reminder to add another reminder in the same list; enter each actionable step as its own reminder.
Make sure each step is directly below the intended parent. Select one or more step reminders, then press Command-] or choose Edit > Indent Reminder. You can also drag reminders on top of another reminder. Reminders makes an indented reminder a subtask of the reminder immediately above it, so check the order before indenting. Apple’s instructions for adding and removing subtasks
In a standard list, use the disclosure arrow beside the parent to show or hide the subtasks. If the steps are already grouped elsewhere, select them and press Command-[ or choose Edit > Outdent Reminder to make them independent again. Apple lists these shortcuts in its Reminders keyboard-shortcut guide.
Make the checklist useful during the project
Review the hierarchy from top to bottom: does each indented line belong to the parent directly above it? If one step is actually a separate deliverable, outdent it or place it under the right parent. Name tasks so you can tell what “done” means without opening a note—for example, “Send the approved agenda to attendees” is clearer than “Agenda.”
Add dates only where a real deadline or reminder time helps. A project’s overall deadline does not automatically tell you when every step should happen; choose dates for individual subtasks when those dates matter. Use notes for brief instructions or links, and keep unrelated work outside the project’s parent reminder so the checklist remains easy to scan.
Know what happens when you complete or move the parent
Treat the parent reminder as the container for the project’s checklist. Apple states that completing, deleting, or moving a parent reminder also completes, deletes, or moves its subtasks. Before doing any of those actions, confirm that the project is finished or that you intend to apply the same change to all its steps. If a step needs to remain active on its own, outdent it first. Apple’s subtask guide
You can view subtasks from Today, Scheduled, or other Smart Lists by clicking the blue subtask link beneath the parent reminder. However, Apple says you can’t create subtasks while in the Today, Scheduled, Flagged, or custom Smart Lists. Open the underlying standard list to build or restructure the hierarchy. The documented feature also depends on updated iCloud reminders; Apple notes that some Reminders features may not be available with accounts from other providers. Apple’s Mac instructions
