To reuse a consistent project update slide in Keynote on your Mac, edit or add a slide layout in the presentation, define the content areas as placeholders, and save the layout changes as a theme if you want to use them in other presentations. A layout supplies the structure—such as a status heading, milestone area, and next steps—while placeholders let each new slide accept its own editable content.

Plan the slide before editing its layout

Decide what readers need to find on each update slide. A practical starting structure is a title with a reporting period, a short status summary, a larger area for progress or evidence, and a smaller area for blockers and next steps. These are design suggestions, not preset Keynote fields. Keep the labels short and leave room for the longest realistic update you expect to enter.

Start from a theme whose fonts, colors, and slide size suit the presentation. Apple describes themes as collections of coordinated styles and layouts; you can choose one when creating a presentation. Open an existing presentation that uses the theme you want to adapt, or create one from a theme in Keynote. Apple’s guide to creating a presentation in Keynote on Mac

Add and shape a project update layout

  1. Open the presentation. In the toolbar, click the View menu button and choose Edit Slide Layouts. To make a new layout, click Add Slide in the toolbar and select a layout, or select a similar layout in the navigator and press Return. Double-click the layout’s name in the navigator and give it a clear name, such as “Project Update.”

  2. Arrange the fixed structure. In the layout editor, position and format the title and any text areas that should appear consistently. For an update slide, consider separate regions for reporting period, status, progress, blockers, and next actions. Change the layout’s placeholder display text to useful prompts where appropriate; Apple documents that this text can be edited in the Format sidebar’s Style tab under Display. Avoid putting actual project-specific updates into the layout.

  3. Make changing content editable. If you add a text box or shape for update text, select it, open Style in the Format sidebar, and choose Define as Text Placeholder. For an image area, add an image and choose Define as Media Placeholder. Ordinary objects added to a layout become part of the slide background and cannot be edited on slides based on it; placeholders are the right choice for content people must replace. 4. Leave the layout editor by clicking Done in the blue bar, or use the View menu button and choose Exit Slide Layouts. In the slide navigator, add a slide and select your new layout. Replace its prompt text with sample content and check the fit. Placeholder text boxes may automatically shrink text to fit, so test longer headings and notes before relying on the layout. If text is hard to read at its reduced size, make more room or shorten the intended content.

Reuse the layout in this presentation or another one

For the current presentation, add a slide with Add Slide and choose “Project Update.” Existing slides can also be selected and assigned a different layout using the Slide Layout button in the Format sidebar. If you later move or restyle content on a slide and want the layout’s default formatting and positions back, Control-click the slide in the navigator and choose Reapply Layout to Slide. Apple says this restores placeholder positions and styles without deleting slide content; the command is unavailable while a presentation is shared. Apple’s guide to applying a slide layout

To make the layout available for future presentations, choose File > Save Theme. Select Add to Theme Chooser and name the theme, or choose Save to save a theme file where you choose. Keynote saves layout changes into the new theme; Apple notes that only slide layout changes are saved this way. The custom theme appears under My Themes. If you have iCloud Drive enabled and use the same Apple Account on your devices, Apple says the saved theme is available on those devices, but not in Keynote for iCloud. Check the template’s limits before sharing

One slide layout can contain only one object placeholder for a table, chart, or image gallery. That placeholder sets the size and position for the first such object added to slides using the layout. If your update needs several separate editable elements, use text or media placeholders for them, or place a table or chart directly on the slide and adjust it there.

A custom theme is the reusable package for layouts across presentations; a layout edited inside one presentation is immediately reusable there. Save the theme when you need the layout to appear in another presentation’s theme chooser or to share it as a theme file. That gives you a repeatable project update framework while leaving each week’s status, evidence, and actions editable.
