To print one week of meetings from Calendar on a Mac, open File > Print, set the print view to Week, choose the week’s start and end dates, and select which calendars to include. Review the layout and event details before sending it to a printer or saving it as a PDF. Apple documents Day, Week, and Month layouts, along with date ranges and calendar selection. Choose the week you want to plan

Open Calendar and navigate to the week of your meeting session. You can switch to Week view with Command–2, then move one week at a time with Command–Right Arrow or Command–Left Arrow. To jump to a date, use Shift–Command–T and enter the date. These shortcuts help you locate the week on screen; the print dialog’s date range determines what gets printed. Before printing, decide whether the paper copy should show work meetings only or other events too. Calendar can manage multiple accounts in one place, and the print options let you choose which calendars to include. For a focused planning sheet, deselect calendars that would add unrelated events. Set the print layout to one week

  1. In Calendar, choose File > Print or press Command–P.
  2. In the print setup window, open View and choose Week.
  3. Set Starts and Ends to the dates covering the week you need. Check that the range begins and ends on the intended days; don’t assume the week currently visible on screen is the only range that will print.
  4. Select the checkboxes beside the calendars to include.
  5. Choose any additional options offered for the selected layout, then set Text size to large, medium, or small.

Apple’s guide describes these controls for printing a calendar or a list of events in a time range. The available additional options depend on the print layout, so use the controls shown in your version of Calendar rather than relying on an assumed option. Apple’s Calendar printing guide

Check the page before printing

Look over the print preview for the date headings and included meetings. If you see too many or too few days, return to Starts and Ends and correct the range. If events from a personal or holiday calendar appear, adjust the calendar checkboxes. If meeting titles are hard to read or the page is crowded, try a different text size and inspect the preview again.

Calendar’s print options include event details, but do not assume every note, attachment, or piece of invitation information will appear on the week layout. For detailed meeting information, open an event in Calendar and review its information separately before the planning session. Apple documents event details such as notes, URLs, and attachments in the event editor; its printing instructions don’t promise that all such fields are included in a weekly printout. When the week and layout look right, click Continue, choose the printer and its settings, then click Print. If you want a digital copy, select a PDF option in the macOS print dialog if one is available. Printer options vary, so check the resulting page or PDF before distributing it.

If you need only a few meetings

For a planning sheet containing selected meetings rather than the whole week, select multiple events in Calendar by Shift-clicking them, choose File > Print, and set View to Selected Events. This produces a list of chosen events rather than a full weekly calendar grid, so use it when a shorter agenda better suits the meeting session. Apple’s Calendar printing guide

A printed week works best when it shows the date range and only the calendars relevant to the planning discussion. Confirm those two choices in the preview, then print the grid for an at-a-glance schedule or select individual events when the group needs a focused agenda.
