To keep a bibliography aligned with the sources cited in a Mac draft, insert citations with a word processor’s reference-manager plug-in and let it generate the reference list from those linked citations. In Microsoft Word, Zotero’s Refresh button updates citations and the bibliography after reference details change. The key habit: correct source data in the manager, then refresh the draft; don’t hand-edit the generated list while it is still linked.
Understand what “synchronized” means
A reference manager usually maintains two related but different things: your library, which may contain everything you collected, and the draft’s cited-source set. Zotero updates its Word bibliography to reflect citations in the document, so an item in your library does not automatically belong in that bibliography just because you saved it. Add the source to the draft as a citation when it supports the text; use the bibliography editor only when the assignment or publication specifically calls for uncited works. Zotero’s Word plugin documentation describes both the automatic update and the option to include uncited items.
For this workflow, the draft’s citation fields are the connection. Plain text that merely looks like a citation cannot be relied on to update when source metadata or citation style changes. Keep the active copy in the word processor format supported by your citation tool, and retain a separate backup before making final, non-updatable edits.
Set up a linked workflow in Word for Mac
Install and use the reference manager’s Word integration. In Zotero, the plugin adds a Zotero tab with Add/Edit Citation, Add/Edit Bibliography, Document Preferences, and Refresh. Insert citations through Add/Edit Citation by finding the library item, and insert a bibliography through Add/Edit Bibliography. The plugin then maintains the bibliography from the document’s citations. In Document Preferences, choose the required citation style and language. Zotero recommends storing citations as Fields in most cases. Its plugin guide documents these controls and settings.
Keep reference details accurate in the library. Check author, title, date, publication, and other fields against the source itself when you add or correct an item. Then cite that item from the library rather than typing a formatted reference into Word. This gives the document a source record it can use when formatting changes.
Use a repeatable update cycle
After changing source details in Zotero, open the draft in Word and click Refresh in the Zotero tab. Zotero says Refresh updates citations and the bibliography with changed library metadata. When adding or removing a citation in the linked draft, the bibliography should update to reflect that change. The Zotero documentation also notes that manually editing bibliography text in Word can be overwritten at the next refresh.
Before handing off the draft, do a reconciliation pass: read through the document and confirm each source you intend to cite has an inserted citation; check that each cited source appears in the reference list; and look for references included by exception, such as uncited works required for a review. Finally, refresh once more and inspect the rendered citations and list. This check is a practical safeguard, not a guarantee that the manager can judge whether a citation supports the claim or whether the reference metadata is factually correct.
Fix common synchronization breaks
If an edit to Zotero metadata does not appear, click Refresh first. If the citation remains unchanged, click it and choose Add/Edit Citation. Zotero explains that a citation may have been manually edited and set to stop updating, or may no longer link to an item in your library. In the citation dialog, check whether the item offers Open in My Library. If it does not, Zotero may be using metadata embedded in the document; the documented repair is to delete that citation and reinsert it from the library results. Zotero’s troubleshooting guidance covers these cases.
Avoid changing citation text directly in Word during drafting. For page numbers, prefixes, or suffixes, use the citation dialog’s options. Zotero warns that direct edits can prevent automatic updates. Likewise, manual edits to the generated bibliography may disappear on refresh. If the final submission needs a special text-only adjustment, save a backup and unlink citations only in a final copy: unlinking removes field codes and stops further automatic updates. Zotero documents this limit.
The same principle applies in EndNote for Word on Mac, though the control name differs. Keep the EndNote library open, then use Update Citations and Bibliography on the EndNote tab after editing a reference. EndNote says updates made while the library is closed may instead use the reference data stored in Word’s Traveling Library. EndNote’s Mac documentation explains this dependency.
Know what the workflow cannot verify
Refresh formats linked records; it does not fact-check the argument, confirm that every claim is properly sourced, or reconcile unrelated reference lists pasted into the draft. A bibliography exported or typed as ordinary text has no live link to the library and will not update itself through the citation plug-in. When a style exception or separate uncited reading list is required, treat it as an explicit editorial decision and review it after the linked citations are current.
The dependable cycle is simple: maintain source records in one reference library, insert citations through the Word integration, refresh after metadata or citation changes, and inspect the final relationship between cited claims and listed references before making any text-only finishing edits.
