Before working offline, download the project’s iCloud-only files in Finder. Open iCloud Drive, select the needed file or folder, Control-click it, and choose Download Now. Wait for the download to finish; then check the Finder status or open the files while still connected. If you want the items to stay on your Mac when storage is optimized, choose Keep Downloaded as well. Apple says downloaded items can be used without an internet connection. Prepare the project in Finder
Connect to the internet before starting. In Finder, select iCloud Drive in the sidebar and locate the project folder. If iCloud Drive is not set up on this Mac, go to Apple menu > System Settings > your name > iCloud > Drive and turn on Sync this Mac. The control may appear under the “Saved to iCloud” section. A cloud status icon beside a file indicates that the item is stored in iCloud and needs an internet connection unless you download it. Control-click the item and choose Download Now. You can select several items together, or download the project folder if you need its contents; downloading the folder can be a practical way to gather project files, but check important contents individually if Finder shows mixed statuses or you know the project relies on specific assets. Confirm the files are ready before disconnecting
To show a clearer status, choose View > as List, then View > Show View Options and select iCloud Status. Apple describes In iCloud as available only in iCloud, while Downloaded means the item is up to date between the Mac and iCloud and can be viewed or edited with or without a connection. A transfer progress indicator means the download or sync is still underway. Wait for the transfer to finish before relying on the project offline. A downloaded item may have no status icon; Apple notes that Finder’s iCloud Status column does not show an icon for downloaded items. For a practical final check, open the project’s key documents and assets while the Mac is still online, and confirm the app can access what you need. If your workflow permits, briefly disconnect from Wi-Fi and reopen the critical files before leaving. This is a useful check for your own project, not a guarantee that every linked resource or online feature will work without internet.
Keep project files downloaded
If Optimize Mac Storage is enabled, macOS may store older documents in iCloud when space is needed. To ask the Mac to retain a project item locally, Control-click it in Finder and choose Keep Downloaded. Apple says a Keep Downloaded indicator appears beside the item; the setting can be removed from the same menu by choosing Keep Downloaded again. Apply it to the files or folders that matter for offline work. Work with folders and files in iCloud Drive
Downloading and keeping downloaded are distinct choices: Download Now retrieves an item that is only in iCloud; Keep Downloaded is the documented option for retaining selected items when storage optimization is in use. Neither makes a project available if its download is incomplete or the Mac lacks enough local storage. Check the status column for Waiting to Upload or Out of Space too: the former means an item is not yet stored in iCloud, and the latter means there is not enough iCloud storage for it. What offline access does and does not cover
The steps above make iCloud Drive items available locally on this Mac; they do not download unrelated content from other services. A project that depends on web pages, shared live data, remote servers, or app features that require a connection may still be incomplete offline. Identify those dependencies separately and use the relevant app’s documented offline options. Keep the working files in iCloud Drive if you want them to continue syncing; dragging items out of iCloud Drive moves them out of the cloud folder and removes them from iCloud Drive on the other devices using that account. For a straightforward offline handoff: download the project folder, wait for transfers to finish, inspect important files in the iCloud Status column, and use Keep Downloaded for items you want retained locally. Then verify the essential project files in the apps you will use. That gives you a concrete check before you leave internet access, while making clear which parts of the project still depend on online services.
