To make a printable project checklist in Numbers on Mac, create a simple table with a checkbox column and a task column, then use the print setup preview to fit the checklist to paper. This workflow is best for a short, paper-based task list: Numbers’ cell checkboxes are interactive in the spreadsheet, while printed pages are for marking by hand.

1. Build a clear checklist table

Open Numbers, choose File > New, and select the Blank template. In a table, use two columns: Done and Task. Add one task per row, using short, specific actions such as “Confirm venue” or “Send draft for review.” If the project has natural phases, put each phase in its own row as a label or use a separate table for each phase. Keep the task wording readable at the paper size you expect to print. Apple documents creating a spreadsheet from Blank and entering headers and data directly into table cells in its Numbers guide to creating a spreadsheet.

2. Add checkboxes and make room to write

Select the cells under Done that should hold checkboxes. In the Format sidebar, click Cell, open Data Format, and choose Checkbox. Repeat for any added task rows. You can click a checkbox to select or clear it; if you select several checkbox cells, press 1 to select all or 0 to clear all. The checkbox stores a selected or unselected value in the sheet, so it supports tracking progress before printing. Apple’s instructions for adding controls to Numbers cells

On paper, the printed checkbox becomes a visual mark-off space; you cannot click it on the page. Leave the cells in the Done column unchecked before printing if you want blank boxes to mark with a pen. Make that column wide enough to show the checkbox clearly, and widen Task enough that longer items remain easy to read. If task names wrap or appear cramped, adjust the table’s column widths or shorten the wording before opening print setup.

3. Format for practical use

Keep decoration modest so the task text and checkboxes remain legible in grayscale. A useful project list may include a short title above the table and a Notes column only if the extra information will help someone complete the work on paper. If you add owner or due-date columns, check that the table still fits at a readable scale; too many narrow columns can make a printed checklist harder to use. Consider grouping tasks in the task text or separating phases into distinct tables instead of adding decorative elements that consume page space.

Save the spreadsheet with a recognizable project name using File > Save. Numbers saves changes automatically as you work, but naming the file helps you find the editable version later, as Apple notes in its spreadsheet creation guide.

4. Set up the print layout and inspect the preview

Choose File > Print. Numbers opens a print setup sidebar and shows page thumbnails. Choose the paper size and printer, then select portrait or landscape orientation. Portrait usually suits a two-column checklist; landscape can help when you have several useful columns. Numbers fits content to one page wide by default. If the preview splits the table across pages, use Content Scale and the Fit control to adjust how much fits across the page. Avoid shrinking text until it is difficult to read. Use the preview as a decision aid: confirm the title and every task are visible, checkbox spaces are large enough to mark, and the page breaks do not separate a heading from the tasks it introduces. If the checklist is too small, reduce unnecessary columns, shorten task text, or choose landscape before reducing scale further. If it spans multiple pages, enable Repeat table headers so column labels appear on pages where the table continues. Adjust page margins if needed, and add a header such as the project name if it helps identify printed pages.

5. Print or save a PDF

At the bottom of the print setup sidebar, choose This Sheet to print only the current sheet or All Sheets to print the whole spreadsheet. Check the page thumbnails again, then click Print and choose copies or a page range in the print dialog. To keep a shareable digital copy, Apple documents selecting PDF after clicking Print to customize the PDF using the print settings. The spreadsheet remains the editable version; the printout or PDF is the fixed page layout for reference or handwriting.

Before making multiple copies, inspect one page for clipped text, tiny type, unwanted blank pages, and unchecked boxes. Correct the sheet or print settings and reopen the preview if anything looks wrong. Numbers provides page setup controls for size, orientation, scale, margins, headers, and page numbering; it does not turn a paper copy into a live checklist. For a handoff that needs ongoing updates, keep and share the Numbers spreadsheet as the working copy.
